Week Seven Group Presentation: Planning, Group Meetings

Group Presentation 1: Planning, Group Meetings

The first week group presentation was a very cohesive and well-structured presentation. It was illustrated through their presentation that all group members are collaborating in an organized and fair manner. Using a Prezi presentation, the group introduced a clear and concise presentation that outlined the following in depth, whilst holding a strong theoretical position:

- What is planning?
- Why do we plan?
- How they planned
- Planning tools used
- Their project aim
- Future planning

The group outlined the importance of planning in any project to ensure its success. Grant outlined that without thorough and clear planning the aspired goal would not be reached to a level of high quality. He then elaborated on the five central reasons for planning;

1. Setting directions and priorities – allows for monitoring of progress and returns good decision making within the collaborative team

2. Being considerate of each team member and ensuring they are aware of the teams goal – close team communication and planning limits the possibility of members becoming distracted

3. Planning is important to simplify decisions – clear plans provide collaborative members with a guide to refer to

4. Equal priorities and activities – provides a guide to depict what effort is needed where

5. Communication! – providing a comfortable environment to allow all member of the team to have a voice!

Grant also illustrated they ways in which his group have planned their project. This was very important as it made me aware of the planning aspects that my group has over looked – analysis of opportunities, establishing the aim, exploring options and selecting the best one, detailed planning. In my opinion the group had many distinctive and specific examples of the effect of planning in their group. They outlined the physical ways in which the team is working and how the work is divided.

Whilst they appeared to be working as a good cohesive team, It was evident that the group has some main member and some sub members. I think that a major part of planning and staying on track is to ensure that all team members have a role and are fully involved. For the planning team, maybe they should consider an organizer for the collaborative team to ensure that they all are in communication and efficiently working. All content seemed to be neatly organized and properly referenced.

Still images were used to support and extend the groups theoretical understanding of Planning, however I feel although there should have been more – after all a picture speaks a thousand words. In saying this, the team creative a fun and interactive motion video. It was a great idea and worked very effective.

Reference to my group

Their presentation identified some aspects that were absent in our group’s configuration. My group hadn't yet considered the generation of individual and group time action plans and Gantt charts. Their presentation confirmed that the communication methods my team is and has been engaging attests to be the most popular and appropriate practice. Social media avenues such as Facebook and Whatsapp appear to be the best communication forms. Whereas Google Docs is the best medium to transfer ideas and information.

Communication has been a little difficulty over the past few weeks as two team members (Jordon and myself) were in china working on a university project. Whilst I was in China, ironically Facebook and Skype were the only two forms of communication that worked occasionally. It was very hard and frustrating to communicate at times and I feel although I have disadvantaged my collaborative team by not being able to communicate in the critical planning stages of our project.

However, my team was aware that Jordon and I would be unable to communicate for a long period of time. I feel as though they lacked direction and unsuccessfully planned and managed their time and work effectively.

I do understand our project is very difficult to organize in terms of having each member working on a task. I feel as though the planning in our team will be very difficult to adhere to and likewise it will be very difficult to ensure the work is evenly distributed. Hopefully in the next week we can all have a task that will benefit and increase the quality of our project.
